I. Job SummaryAssistant to Director, Financial Assurance. Provides a wide variety of administrative and staff support services to the treasury department.
II. Essential Duties and Responsibilities include the following. To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Other minor duties may be assigned. - Review invoices for accuracy, input in database and prepare for approval.- Maintain allocation system to bill financial assurance costs to business units.- Prepare monthly tax forms and check requests.- Set up instrument files.- Weekly follow-up of pending new instruments/renewals/cancellations.- Maintain financial assurance department's calendar. Filing.- Copies for special projects.- Type miscellaneous forms as needed.- Maintain Trust Agreement database.- Daily mail and courier packages. - Pull monthly renewal files.- Back-up for Executive Assistant to the Vice President, Finance and Treasurer. - Obtain necessary Corporate signatures.- Process receipt of instruments.- Administration of storage boxes.
III. QualificationsThe requirements listed below are representative of the qualifications necessary to perform the job. A. Education and ExperienceRequired: - High school diploma - 3 years of experience as an Administrative Assistant - Proficient in MS Office Applications including Access- Ability to prioritize, organize, manage time, and multi-task- Attention to detail and quality- Experience working with numbers and a calculator- Ability to work in a fast paced department with multiple deadlines to meet frequently.Preferred: - Insurance, surety or bank experience.
